How to create an email signature
Add your details
Enter your name and the contact details you want to share. Leave anything else blank. Add a public logo URL if needed.
Make it your own
Choose a layout, font and brand colour. Check a narrow view and try blocked images. For a team, import a staff CSV and review each row.
Copy, install and test
Copy signature keeps the formatting. Paste into your email settings, choose defaults and save. Send a test email before using it.
Using the email signature generator
Build one signature in Details and Design. Open Team CSV when you need the same design for several people. On a phone, Preview and Back to editor move between your fields and the result.
Details: choose what you share
Full name is required for an individual export. All other fields are optional, and empty fields disappear from your signature.

Design: match your brand without rebuilding
Choose between sixteen layouts, including Portrait, Split, Brand banner and Soft card. Your contact text stays the same as you switch, and the preview updates as you edit.
Classic or Stacked
Classic puts an image beside your details. Stacked places it above them. Both include a rule in your brand colour.
Minimal or Compact
Minimal uses text without an image or rule. Compact brings details into fewer lines, which suits short reply footers.
Type and colour
Brand colour sets links and rules. The contrast message checks links against white. Font offers Arial, Georgia and Verdana.

Scroll the layout gallery to browse every design. Its caption names your selection. Text-only layouts disable Image size.
Text size offers 12, 14 or 16 px. Image size offers four square sizes from 40 to 96 px. Use a square source image to avoid stretching it.
Preview: check a narrow inbox and blocked images
Desktop uses the available width. Narrow limits the message frame to 320 px, or less when your screen is smaller.
Dark background uses light text and brightens links for a readable dark preview. Soft card gets a dark colour wash. This preview does not reproduce any specific mail client’s colour changes. Copy and export use your chosen brand colour and the standard light signature. Your individual image loads directly from its public host. Select Block images to check whether your text stands on its own. Imported staff images wait until you choose Load staff images. A failed image shows a message and Try again. Check that its URL opens an image without signing in.
Export: formatted copy and HTML do different jobs
Use Copy signature for the rich-text signature box in your mail app. It puts HTML and a plain-text alternative on your clipboard.

Team CSV: make staff signatures in bulk
Download CSV template gives you an example spreadsheet. Choose a staff CSV or drop one onto the file area. You can also open Paste from a spreadsheet and choose Import pasted rows. Include name and email headers. Comma, semicolon and tab delimiters are detected.
Preview staff member selects a row. Errors identify invalid addresses, missing names and mismatched cell counts. Fix these in your spreadsheet and import again. Remove CSV discards the batch from this tab.
Set shared branding
Company, website, address, image, booking link and disclaimer come from Details when their columns are absent.
Use a column to override
A CSV column replaces the shared value. A blank cell stays blank. Individual names, emails and phone numbers never come from another person.
Download ready rows
The ZIP includes an HTML and text file for each ready row, plus installation instructions. Invalid rows are left out and counted.
Keyboard controls
Use the keyboard to move through the editor. No custom copy shortcut takes over your browser’s usual commands.

What this tool will not do
It does not install signatures automatically, host images, track email opens or synchronise an employee directory. Team batches are limited to 500 rows and a 2 MB CSV. It does not verify whether an email address belongs to someone.
Images need a public HTTPS address. SVG and HTML image URLs are refused. The whole signature stays as selectable text and clickable links, rather than a single image. Your mail app can still change its appearance.
Frequently asked questions
Is this email signature generator free?
Yes. Every layout, formatted copy, HTML download and team CSV export is free. You do not need an account. Your signature contains no floi footer or tracking pixel.
Can I make a professional email signature with a logo?
Yes. Open Photo, meeting link and small print in Details. Add a public HTTPS image URL and an Image description. Fourteen layouts include your image. Minimal and Compact leave it out. Your individual image loads directly from its public host. Block images lets you test a recipient’s blocked-image view.
Can I generate email signatures for my whole team?
Yes. Set shared details and a design, then open Team CSV. Download the template or import your own file with name and email columns. Review the rows, then download a ZIP of ready signatures. Each person still needs to install their signature manually.
Will it look identical in Gmail and Outlook?
That cannot be guaranteed. The export uses tables, inline styles and common font families. Mail clients may change spacing, fonts, colours and images. The preview uses your browser, not Gmail or Outlook’s rendering engine. Test a received email in your intended clients before a team rollout.
Why do I see HTML code when I paste my signature?
You copied HTML code into a rich-text signature editor. Use Copy signature instead. If formatted clipboard access fails, download HTML, open the file in your browser and copy the visible signature. Copy HTML code is for an editor that accepts source markup.
Are my details or staff files saved?
Signed-out text and design settings stay in browser storage. Signed-in text you enter and design settings save automatically to your private account. Imported staff CSV data stays in this tab and is never saved to the account backend. Individual preview images load directly from their public host. Imported staff images wait until you choose Load staff images.
