YOUR CURRENT DRAFT

Start a new invoice?

This replaces your current draft. Save a PDF first if you need a copy. Undo can bring it back until you reload or close this tab.

Make an invoice in three steps

  1. Add the details

Enter your business, your client and an invoice number. Add the issue date and due date.

  2. Build your total

Add items with quantities and rates. Set any discount, tax, shipping or amount already paid.

  3. Review and save

Check the preview and payment instructions. Save the PDF, then open it before sending it to your client.

Using the invoice generator

Open the sections on the left to fill in your invoice. The page on the right updates as you type. Choose Enlarge to inspect it, then Fit width to return. On a narrow screen, choose Preview to see the page and Edit or Back to editing to return. Try an example loads a fictional invoice. If you already have a draft, you can cancel before replacing it.

From & bill to

Enter your name or business, address and contact details in Your business. Enter the client’s details in Bill to. Include a tax ID where your circumstances require one.

Open Add your logo and choose an image. The file bar’s Add logo and Remove logo controls let you replace or remove it. Images must be below 40 megapixels. The image is kept in this tab, not in your draft. Add it again after reopening.

Invoice details and items

Set Invoice number, Currency, Issue date and Due date. You choose and maintain your own numbering. New invoice replaces the current draft, keeps your business and tax settings, and increments a number ending in digits. Save a PDF first if you need a copy.

In Items, give each charge a description, quantity and rate. Use Add item for another line. The arrow buttons change the order, the duplicate button copies a line, and × removes it. Undo restores the last change until you reload or close the tab. Only the current draft is kept.

Tax & adjustments

Choose percentage or fixed amount in Discount type, then enter the Discount. Set a Tax label and rate when needed. Add Shipping and any Amount paid. The preview shows the balance due after the payment.

OrderWhat happens
1. LinesQuantity times rate, rounded per line to the currency’s smallest unit.
2. DiscountSubtract a percentage or fixed amount from the subtotal.
3. TaxApply the rate to the discounted subtotal. Shipping is added afterwards.
4. BalanceSubtract the amount already paid. A negative balance shows an overpayment.

Use a full stop for decimals. Numbers accept up to four decimal places and nine digits before the point. The result is rounded half up to the smallest currency unit at each calculation stage. Check whether that order and rounding suit your transaction.

Payment and notes

Add the way your client can pay in Payment instructions. Use Notes for a purchase reference or other context.

Choose a layout and make it yours

Choose Layouts at the top of the tool. You can also open Design and choose Browse layouts, or use Change layout above the preview. The gallery shows a fictional invoice in each design. Select one and choose Use to apply it. Cancel or Escape keeps the current layout. Your wording and calculations do not change.

Choose one of 10 accent colours or select Custom and pick your own. Text colours adjust when needed to remain readable. Set the Document title, Paper size, Body typeface and Heading typeface. Follow layout gives each design its own heading typeface.

Use Text size and Spacing to fit your work. Choose a Logo size and show or hide Page numbers. The preview and PDF use the same layout. Design settings stay with your draft and carry into a new invoice.

Review and save

The checklist under the editor points out missing details and a due date before the issue date. It is a prompt, not a legal check. Add your business, client and number, then describe every item to enable Save PDF.

Choose Narrow, Wide or Full at the top right for more room. Open in and Share in the file bar can pass the finished PDF to another tool or device. You can also save the file and send it yourself.

What it will not do

This tool does not send invoices, process payments, look up tax rates, track unpaid bills or verify local tax requirements. It applies one tax rate to the discounted subtotal. It does not calculate inclusive tax, per-item rates or tax on shipping. The tax rate is limited to 1,000%.

An invoice can contain up to 100 items and 30 pages. Typeface coverage varies. Unsupported characters stop the PDF save so they cannot disappear silently. Try another typeface or replace those characters. Signed-out drafts stay in this browser. Signed-in text and settings save automatically to your private account. Logo images and PDF bytes do not.

Check the information and tax treatment your transaction needs. The invoice guide explains the usual parts and includes a worked calculation.

Frequently asked questions

Is this invoice generator free?

Yes. You can create and save an invoice PDF without signing in, paying or adding a floi watermark. Your browser makes the PDF.

Can I customise the invoice layout?

Yes. Choose from 6 layouts and preview each one before applying it. Change the body and heading typefaces, colour, spacing, text size, paper and logo size. Your wording and totals stay in place when you switch.

Can I add a logo to my invoice?

Yes. Add a PNG, JPG or WebP up to 10 MB. The logo stays in this tab and appears in the PDF. Add it again after reopening the page.

How are tax and discounts calculated?

Each line is rounded to the currency’s smallest unit. The discount is taken from the subtotal. Tax is calculated on the discounted subtotal. Shipping is added after tax, and the amount paid is subtracted from the total.

Does this make a legally compliant invoice?

The tool cannot determine the rules that apply to your business or transaction. Check the required information, tax treatment and numbering with your local authority or adviser before sending.

Where is my invoice saved?

Signed out, typed details and settings stay in this browser. Signed in, they save automatically to your private floi account. The save indicator shows when a cloud write is pending or confirmed. Logos and generated PDFs remain in this tab and are not saved to your account.

Can I send the invoice or collect payment here?

No. Add your own payment instructions, save the PDF and send it through your usual channel. The tool does not send invoices, collect payments or track their status.
